Write a short description of your services, intended patient experience, staffing approach, and planned location or virtual model. Use this as a shared reference when you evaluate tools and define workflows.

Map the administrative patient journey
Walk through what happens when someone first discovers your practice. Document how inquiries, scheduling, intake, appointments, and administrative follow-up connect. Pay particular attention to work that moves between people.

- Draft the intake and communication workflow.
- Define who handles cancellations and scheduling changes.
Coordinate the systems behind the scenes
Treat your website, phone system, EHR, intake forms, and scheduling as a connected set of tools. Review the workflow with the people who will use it and ask vendors to demonstrate the connections that matter to your team.
- Create a technology and vendor inventory.
- Identify the owner of each system setup.
- Track provider enrollment and documentation as a separate workstream.
Rehearse before opening
Run a fictional patient inquiry through the administrative process. Note unclear instructions, duplicate entry, and handoffs that lack an owner. Resolve those issues and repeat the walkthrough.
